First Steps Records Session
A ninety-minute appointment for a family that has recently lost someone and does not know where to begin with the paperwork. We list what documents the household believes exist, note where each is thought to be, record which public bodies have already been contacted, and produce a written next-steps sheet naming the type of professional or agency that answers each outstanding question.

Estate Papers Digitisation
A clerical project that scans, names, and indexes the papers a household has gathered, producing a searchable archive with encrypted copies for each named family member and a printed contents list. Documents are collected under a signed handling agreement, scanned at 400 dpi, indexed by type, date, and issuing body, and returned in labelled folders.

Family Records Stewardship Retainer
A twelve-month retainer providing a named archivist to a family working through a long administrative process across several households. Covers quarterly filing visits, ongoing accession of newly issued documents, condition monitoring of originals, an updated index and finding aid, and an annual written report.

Nothing leaves without a signed agreement
Every document collection is covered by a written handling agreement before any paper is moved. Originals are returned. No copy is kept after handover.
We do not give regulated advice
Cairnvale is a clerical and archival service. We record, organise, and index. Questions requiring a lawyer, accountant, or estate administrator are referred in writing to the right professionals.
No pressure, no follow-up by default
After a records session, we do not contact you again unless you ask us to. Families working at their own pace are welcome to return when the time is right.
A written record at each step
Every session and project produces a written output — a next-steps sheet, a printed index, or a correspondence log. You leave with a document, not just a conversation.
Multiple households, one point of contact
Inheritance matters often spread across siblings and relatives in different locations. The retainer service coordinates across households, keeping one consolidated archive and correspondence record.
Work at the pace the situation allows
There is no onboarding sequence and no timeline we impose. A session can be booked weeks after the first call. The retainer accommodates months when nothing moves.

What exactly does Cairnvale do?
We are a clerical and archival service. We list documents, collect them under a handling agreement, scan and index them, and produce written records of what exists and where it has gone. We do not provide legal, financial, or estate administration services. Anything that requires a qualified professional is referred in writing.
Is it too soon to call — we have not sorted anything yet?
The First Steps Records Session is designed for exactly this — a family that has not sorted anything. The purpose of the session is to find out what documents exist, where they might be, and who the right people are to contact about each. You do not need to have prepared anything before coming in.
Who keeps a copy of our scanned documents?
You do. After digitisation, the encrypted archive and the printed index are handed to the family members named in the project agreement. Cairnvale does not retain a copy after handover. This is stated in the handling agreement signed before work begins.
How long does the digitisation project take?
For collections of up to 800 pages, turnaround is approximately three weeks from the date of collection. If your collection is larger, we will give an estimate before starting. Fragile items are handled separately and may take a little longer.
What does the retainer cover across multiple households?
The twelve-month retainer includes quarterly filing visits to each household, ongoing indexing of newly issued documents, condition monitoring of originals, a correspondence log recording what was sent to whom and when, and an annual written report on the full collection. The same named archivist handles all households in the project.
What happens after the session? Will you follow up?
After a records session, we send the written next-steps sheet and the referral directory. We do not contact you again after that unless you ask us to. There is no obligation to continue and no sales follow-up.
Are the prices fixed?
The First Steps Records Session is RM 460. The digitisation project is RM 1,620 for up to 800 pages — for larger collections we will give a written estimate before any work begins. The annual retainer is RM 4,350. All prices are in Malaysian Ringgit and are stated before you commit to anything.
