Who we are

How Cairnvale came to be

Cairnvale was set up in Kuala Lumpur after its founders spent several years watching families lose months to paperwork they did not know how to approach. Not because they lacked capable lawyers or accountants — most families had those — but because nobody had organised the documents well enough for those professionals to start.

The name comes from the practice of placing stones along a path so that a traveller who must stop and rest can find their way back. Inheritance administration rarely moves in a straight line. People stop. They come back when they can. Cairnvale's work is to make sure the path is marked when they return.

The service is strictly clerical and archival. We do not hold a law practice, we do not provide financial advice, and we do not draft documents on a family's behalf. What we do is list, collect, scan, index, and produce written records — so that the family and the professionals they engage have something solid to work from.

Since June 2019, Cairnvale has supported over 340 families working through estate matters across the Klang Valley, Penang, and Johor. The work is quiet and largely invisible, which is how it should be.

How we handle your documents

These are the protocols in place for every project, not just selected ones.

Signed handling agreement before work begins

No document is collected, scanned, or moved without a written handling agreement signed by the family. The agreement names the documents in scope, identifies the family members authorised to receive copies, and states the return procedure.

Encrypted storage during the project

Digital files are stored in encrypted form on local hardware only during the active project period. No cloud storage is used for client documents. After handover, no copy is retained on Cairnvale's systems.

All originals returned after scanning

Original documents are returned in labelled folders after scanning. Fragile items are sleeved before being placed in folders. Condition is noted in writing before and after handling, so there is a record of state at each point.

Regulated questions are referred in writing

When a family asks something that requires a lawyer, licensed estate administrator, accountant, or government body, we write down the question and the referral in the session notes. We do not answer it ourselves.

Personal data kept to what the work requires

We collect only the contact information needed to manage the project and the document details needed to produce an accurate index. We do not hold family financial data, account numbers, or asset valuations beyond what appears on the face of a document being indexed.

Written output at the end of every engagement

Every service produces at least one written document the family keeps: a next-steps sheet, a printed index and contents list, or an annual report. There is always something on paper to show for the work done.

What we do, plainly

Clerical support for inheritance administration in Malaysia

When someone in Malaysia passes away, the family is left with a set of administrative tasks that touch multiple institutions — the National Registration Department, the Land Office, financial institutions, the courts where estate matters are filed, and sometimes employers, insurance companies, or foreign registries. Each institution has its own procedures, its own forms, and its own timelines.

Before any of that work can begin in a coordinated way, the family needs to know what documents exist and where they are. That sounds straightforward. In practice, it rarely is. Papers are kept in different places by different family members. Some were scanned years ago and nobody remembers where. Some were never issued at all. Some exist but have deteriorated.

Cairnvale's work begins at that point — before the lawyers and administrators take over, or alongside them. We produce the kind of organised, indexed, written record that makes everyone else's job easier and reduces the chance that a family has to retrace steps already taken.

Our clients include families working through faraid distributions, joint estate matters involving siblings across multiple cities, families where the deceased held property registered in earlier names or older formats, and families dealing with records that span several decades and multiple jurisdictions.

We work in English and can accommodate Malay-language documents in our indexing. Sessions are held at our Kuchai Lama office or, where a household holds a large physical collection, at the family's premises under the same handling protocols.
